Job Summary- Organized and proactive Assistant Manager to support the operations of Record Retrieval.
- Assisting the Manager with day-to-day operations, ensuring efficiency, and supervising teams responsible for retrieving, processing, and maintaining high-quality records.
- Team Supervision:
- Assist in overseeing the Legal, Provider Outreach, Payment, Invoice, Mailroom, and Quality teams.
- Provide guidance and support to SMEs and team members to meet performance goals.
- Act as a point of contact for team queries and ensure smooth communication between multiple teams and departments.
- Provider Outreach Operations:
- Support the outreach team in contacting healthcare providers to retrieve records.
- Monitor follow-up efforts to ensure timely and accurate record retrieval.
- Help optimize outreach strategies for better success rates.
- Payment and Invoice Support:
- Assist the Payment Team in ensuring timely and accurate payments for services rendered.
- Oversee invoice processing and ensure accuracy before submission to clients.
- Address discrepancies or issues in coordination with the Manager.
- Mailroom Operations:
- Ensure efficient management of incoming and outgoing documents.
- Support the digitization and secure storage of physical records.
- Assist in maintaining a secure and organized mailroom environment.
- Quality Assurance:
- Work closely with the Quality Team to ensure all retrieved records meet required standards.
- Assist in conducting quality audits and implementing corrective actions when needed.
- Provide feedback to teams to improve overall record quality.
- Performance Monitoring:
- Track team metrics and provide regular updates to the Manager.
- Identify areas for improvement and suggest actionable solutions.
- Support in implementing performance improvement plans for underperforming team members.
- Process Improvement:
- Identify inefficiencies in workflows and recommend process enhancements.
- Assist in training team members on updated processes and best practices.
- Compliance and Reporting:
- Ensure all activities comply with federal and state regulations, including HIPAA.
- Assist in preparing reports on team performance, quality metrics, and operational efficiency.
- Manager Support:
- Act as a deputy in the Managers absence, handling operational issues and team management.
- Provide administrative and operational support as required.
