Job Overview

We are seeking a dedicated and professional Admin or Personal Assistant for a mid-level position based in Vadodara. This is a full-time role designed to support our executives in managing routine tasks and enhancing operational efficiency. The ideal candidate will have experience in managing executive schedules, organizing meetings, and handling diverse administrative tasks, contributing to the smooth functioning of the business.

Qualifications and Skills
  • Proficient in managing meetings to ensure seamless coordination and execution of scheduled appointments (Mandatory skill).
  • Strong organizational skills for efficient email management, ensuring timely responses and proper follow-up on communications.
  • Adept at report monitoring, enabling prompt identification of action points and presentation of key insights to stakeholders.
  • Ability to manage resources of the CEO effectively, optimizing time and ensuring the smooth flow of day-to-day operations.
  • Excellent customer service skills for maintaining positive relationships and ensuring customer satisfaction.
  • Proficiency in managing monthly calendars, scheduling appointments, and handling potential conflicts with professionalism.
  • Attention to detail in maintaining documentation, ensuring accuracy and compliance with organizational standards.
  • Strong communication skills to facilitate effective interaction with both internal teams and external partners.
Roles and Responsibilities
  • Manage and coordinate all meeting-related activities including booking venues, organizing agendas, and ensuring follow-up on action items.
  • Handle the executive's email correspondence, responding to routine queries and escalating important messages as necessary.
  • Monitor and prepare reports for various departments, summarizing financial and operational data for executive review.
  • Assist the CEO by managing and allocating resources efficiently, tracking deadlines, and overseeing project progress.
  • Provide outstanding customer service by addressing inquiries, resolving issues promptly, and maintaining professional relations.
  • Manage the executive's monthly calendar, scheduling meetings, conferences, and travel arrangements.
  • Ensure all company records, contracts, and files are accurately maintained and stored according to organizational policies.
  • Communicate effectively with team members, ensuring smooth collaboration and understanding of tasks and objectives.
