Job Title: Executive Assistant

Job Summary: We are seeking an experienced and highly organized Executive Assistant to provide comprehensive administrative support to our Managing Director. The ideal candidate should have more than 2 years of experience in Executive Assistant, with a proven track record of coordinating team activities, managing communications, scheduling meetings, and handling administrative tasks efficiently.

You will be expected to work closely with the Managing Director to ensure smooth operations, manage day-to-day activities, and support various business functions.

Key Responsibilities:

  1. Coordinate Team Activities:
  • Support the MD in organizing and coordinating team meetings, events, and activities.
  • Ensure effective communication and collaboration between teams and the MD.
  1. Manage Communications:
  • Screen and prioritize incoming emails, calls, and messages.
  • Respond on behalf of the MD when appropriate, ensuring timely follow-up and professional communication.
  1. Schedule Meetings:
  • Efficiently manage the MD's calendar, scheduling and coordinating meetings, appointments, and travel arrangements.
  • Ensure all meetings are prepared for with relevant documentation and materials.
  1. Document Management:
  • Manage and organize important documents, reports, and presentations.
  • Ensure all necessary files and records are up-to-date and easily accessible.
  1. Task Coordination:
  • Coordinate and follow-up on outstanding tasks and projects, ensuring deadlines are met.
  • Assist in prioritizing tasks and ensuring that important objectives are accomplished.
  1. Meeting Minutes (MOM):
  • Attend meetings and prepare accurate and timely minutes of meetings (MOM).
  • Distribute MOM and track action items to ensure follow-up.
  1. Research and Information Gathering:
  • Conduct research and gather information as needed for various projects, reports, and presentations.
  • Prepare summaries and presentations for the CEO as required.
  1. Other Administrative Tasks:
  • Perform ad hoc administrative duties and other tasks as required by the CEO.
  • Manage office supplies, equipment, and assist with various day-to-day office operations.

Required Qualifications:

  • Minimum 2 years of experience as an Executive Assistant or in a similar administrative role.
  • Graduation in any field is required.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Attention to detail and problem-solving skills.
  • Professional and confidential approach to handling sensitive information.
