Job Description
Job Title: Executive Assistant
Job Roles and Responsibilities:
Calendar & meeting management:
Scheduling meetings with stakeholders (Internal, External & Global).
Preparing and manage internal and external correspondence on routine matters independently.
Coordinate and scheduling in-person and remote interviews for the function
Managing on-boarding and off-boarding of associates and vendors:
User ID request for internals/external in collaboration with HR/IT
Hardware, access card, photo ID card request, arranging for stationery and desk keys
Coordinating with internal stakeholders to on board associates.
Coordinating with stakeholders off board associates (surrender of ID card, credit card and IT assets, asset de-allocation, user ID deletion).
Collecting training manuals and additional project/knowledge assets issued
Managing foreign travel requests for associates:
Taking care of visa process for associates and make necessary travel arrangements
Covering / Invitation letter.
Matrix and forex request and getting the forex letter approved.
Travels (starting from VISA (Covering and invitation letter) insurance, tickets, surrender through forex.
Providing Executive Assistance to client by:
Managing calendar, meetings, other administrative to-dos
Scheduling meetings
Reading and analysing incoming invoices, submissions, and approving on tool or distributing them as needed.
Arranging for travel and hotel for any official visits
Coordinate with internal stakeholders and collate, analyse and report on routine presentations / reports
Assist in any additional work as assigned with minimum supervision
Proactively communicate any challenges and identify potential.
Expenses and POs:
Raising of POs, GRNs, chasing invoices etc.
Expenses submission and tracking
Team support:
Team mailing lists - create
Team charts refresh
