Administrative Assistant

Scheduling:

  • Schedule appointments manage scheduling emails and sms and provide courteous and efficient assistance.
  • Prioritise and manage multiple appointment requests and schedules to optimise efficiency and meet deadlines.
  • Follow up with clients and team members to ensure timely attendance and appointment completion.
  • Collaborate with support teams to streamline processes and enhance overall efficiency.
  • Prepare and distribute appointment schedules and materials to relevant parties.
  • Monitor and track appointment metrics and performance indicators, providing regular reports and analysis.
  • Update and distribute daily schedules.

Invoicing:

  • Management of invoice processing
  • From PR generation to payment release to vendors
  • Monthly expense reporting
  • Adding new vendors into SAP

Required Skills And Qualifications

Bachelor's in arts, commerce or certification in office administration or related field is a plus.
  • Experience in an outsourced American Call Center is a plus.
  • Proven experience as a Coordinator, Scheduler, Office Assistant, Administrator or similar role.
  • Strong time management and organisational skills, with the ability to prioritise tasks and manage competing demands.
  • Excellent interpersonal and communication skills with a customer-focused approach.
  • Working knowledge of office software (e.g., Microsoft Office Suite and Sales/CRM application)
  • Detail-oriented with a commitment to accuracy and professionalism.
  • Multitasking abilities with adaptability to work independently or collaboratively in a team.
  • Preferred skills and qualifications
  • Experience with scheduling software or appointment management systems.
  • Knowledge of industry-specific scheduling practices and protocols.
  • Ability to adapt quickly to changes and handle confidential information with discretion.
  • Experience in a fast-paced, high-volume environment.
  • Ability to anticipate and resolve scheduling conflicts proactively.
  • Strong problem-solving skills and a proactive approach.
