Job Summary
The Purchase Assistant supports the procurement process by assisting the Purchase Manager in sourcing, ordering, and tracking supplies and materials. This role involves managing purchase orders, handling supplier communications, and ensuring that products are received on time and within budget.The Purchase Assistant helps maintain inventory levels and ensures smooth operations within the purchasing department.

- Assist the Purchase Manager in sourcing and selecting suppliers for goods and services.
- Prepare and issue purchase orders based on requisitions from various departments.
- Track and follow up on orders to ensure timely delivery.
- Monitor inventory levels and coordinate with the team to reorder products when necessary.
- Communicate with suppliers to request quotes, check product availability, and negotiate prices when required.
- Review purchase orders for accuracy and ensure all relevant details are included.
- Maintain organized records of all purchase transactions, invoices, and receipts.
- Coordinate the delivery and receipt of goods, ensuring items are received in good condition and on time.
- Assist with supplier invoice processing and resolve discrepancies between invoices and purchase orders.
- Ensure compliance with company policies and procedures regarding purchasing and procurement.
- Maintain an up-to-date database of suppliers and products.
- Assist with periodic inventory audits and stock checks.
- Handle general administrative duties within the purchasing department as needed.
- High school diploma or equivalent; Bachelor's degree in Business Administration, Supply Chain Management, or related field is a plus.
- Previous experience in a purchasing or administrative support role is preferred.
- Strong organizational and multitasking skills.
- Basic knowledge of procurement processes and inventory management.
- Good communication and negotiation skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Experience with purchasing software or ERP systems is a plus.
- Attention to detail and ability to maintain accurate records.
- Ability to work under pressure and meet deadlines.
