The Back Office Executive is an essential role that supports day-to-day administrative and operational tasks. Key Responsibilities:

  • Data Entry and Management:
  • Accurately entering and updating data into internal systems or databases.
  • Organizing and maintaining digital files and records.
  • Ensuring data is consistent, error-free, and up to date.
  • Document Handling:
  • Preparing and processing documents as per company requirements.
  • Managing and organizing hard and soft copies of company records.
  • Assisting in the preparation of reports, presentations, and spreadsheets.
  • Customer Service Support:
  • Handling customer inquiries and providing timely responses via email or phone.
  • Assisting with order processing, invoicing, and delivery status updates.
  • Collaborating with other teams to resolve customer issues or queries.
  • Administrative Assistance:
  • Supporting the management and other departments with routine administrative tasks.
  • Scheduling meetings, maintaining calendars, and arranging travel as required.
  • Assisting with day-to-day office operations and maintaining office supplies.
  • Report Generation and Analysis:
  • Assisting in creating daily, weekly, or monthly reports based on the collected data.
  • Analyzing data trends and presenting insights to senior management.
  • Ensuring reports are accurate and delivered within deadlines.
  • Internal Communication and Coordination:
  • Coordinating with different departments to ensure the smooth functioning of internal processes.
  • Collaborating with team members to ensure timely completion of tasks.
  • Communicating effectively within the team to meet objectives.

Skills and Qualifications:

  • Educational Qualifications:
  • A minimum of a High School diploma or equivalent qualification. Graduates with a background in business, management, or related fields are preferred but not mandatory.
  • Technical Skills:
  • Basic knowledge of MS Office (Excel, Word, PowerPoint).
  • Familiarity with data entry software and customer relationship management (CRM) tools is a plus.
  • Soft Skills:
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Ability to prioritize tasks and work under pressure.
  • High attention to detail and accuracy in all tasks.
  • Good problem-solving and analytical skills.

Experience:

This is an entry-level position, so prior experience is not required. However, any relevant internships or part-time roles in customer service, administrative work, or data entry will be an advantage.
