The Student Counsellor is responsible for managing the end-to-end admission process and providing guidance and support to prospective students. This position plays a key role in attracting and enrolling students by addressing inquiries, assisting with application procedures, and ensuring a seamless onboarding experience.

The ideal candidate will have strong communication and interpersonal skills, a customer-service mindset, and the ability to understand the academy’s programs and effectively guide prospective students to make informed decisions.

Job Skills and Competencies:

Student Counselling & Support:

  • Conduct one-on-one counselling sessions to guide prospective students in selecting the right courses and programs based on their academic background, career goals, and interests.
  • Provide detailed information on the academy's courses, eligibility criteria, fees, duration, and other important details
  • Assist students in understanding the curriculum, teaching methods, and outcomes associated with each course offering
  • Address queries related to admissions, career opportunities, and post-course assistance

Admission Process Management:

  • Oversee the entire admission process from initial inquiry to enrolment, ensuring accuracy, compliance, and a smooth experience for students.
  • Assist students with filling out application forms, collecting necessary documents, and reviewing eligibility requirements
  • Coordinate with relevant departments (e.g., academic team, administration) to ensure timely processing of applications.
  • Prepare and maintain a database of student inquiries, application statuses, and follow-ups.

Lead Generation & Conversion:

  • Reach out to potential students through phone calls, emails, and social media platforms to promote the academy’s offerings and convert leads into actual admissions.
  • Track and follow up with leads through various stages of the application process.
  • Utilize CRM software to maintain records of all communications and admissions progress

Conducting Orientation & Information Sessions:

  • Organize and conduct webinars, seminars, or in-person information sessions to promote the academy’s programs and services.
  • Provide detailed orientation and campus tour for new students, introducing them to the academy’s culture and environment.

Customer Service & Relationship Management:

  • Ensure excellent service and a positive experience for all prospective students, addressing concerns promptly and professionally.
  • Build and maintain strong relationships with students and their families to encourage long-term engagement with the academy.
  • Assist in resolving issues related to the admissions process or any other student-related concerns.

Collaboration & Coordination:

  • Work closely with the marketing team to develop and implement strategies to generate inquiries and applications.
  • Coordinate with the faculty and administration teams for updates on course offerings, changes in schedules, or other academic-related information.
  • Participate in team meetings to provide feedback and discuss improvements to the admissions process.

Data Entry & Reporting:

  • Maintain up-to-date records of student applications, admissions, and leads using a database or CRM system.
  • Assist in preparing reports on the status of student inquiries, application conversions, and other relevant metrics for management review.
  • Monitor and analyze trends in student admissions and suggest improvements to attract more students.

Additional Administrative Support:

  • Perform administrative tasks related to the admissions office, including filing, document verification, and assisting with other office duties as required.
  • Ensure proper documentation is maintained for all admitted students and that it meets compliance standards.

Qualifications and Skills:

  • Education: A bachelor’s degree in any field, preferably in Education, Business Administration, Psychology, or related disciplines.
  • Experience: 1 to 2 years of experience in student counselling, admissions, or a related customer-facing role, preferably in an educational setting or training academy.
  • Communication Skills: Excellent verbal and written communication skills with a professional and friendly tone.
  • Technology Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint), CRM systems, and basic knowledge of educational management software.
  • Language Skills: Fluency in English and Tamil
