The Role:

The Administrative Assistant will provide project and business administration support to our Talent Acquisition teams in EMEA & Asia-Pacific.

The successful candidate will possess high attention to detail, curiosity and proactiveness, along with strong organizational and communication skills.

An integral part of an Administrative Assistants role is problem-solving within our Talent Acquisition process and, therefore, you will play a critical role in the success of the Talent Acquisition team and the overall growth of our firm.

Job Responsibilities:

  • In partnership with other colleagues, facilitating interviews between candidates and hiring managers.
  • Maintaining the complex calendars of the team across different time zones.
  • Creating and maintaining an efficient organizational system for all hiring and Talent Acquisition projects.
  • Formatting, editing, proofreading, preparing and transmitting internal hiring reports and related documentation.
  • Maintaining internal and external relationships and building rapport through regular communication via phone and email, consistently representing the team in a professional manner.
  • Maintaining the accuracy, quality and integrity of all Talent Acquisition information in the Heidrick & Struggles database.
  • Assisting with database research and coding of records in collaboration with Associate practices resources.
  • In cooperation with the HR function, support the overall hiring processes, such as degree verification of candidates, background checks and referencing.
  • Maintaining and developing job-related skills by attending Company learning programs and keeping up-to-date with job/industry-related reading/etc.
  • Maintaining client, candidate and companywide confidentiality.

Required Qualifications:

  • Successful completion of Bachelors degree or higher from a reputable university.
  • 2-3 years of relevant experience in a fast-paced international environment, ideally in roles that required project coordination.
  • Demonstrated professional business acumen and ethics (honesty, integrity, confidentiality, discretion) in the workplace. This includes sharing complex and sensitive information.
  • Proficient working experience in all Microsoft Office products.
  • Demonstrated ability to communicate confidentially, professionally and with good judgment and discretion across all areas of the business as well as external stakeholders, both written and verbally.
  • Excellent time management skills and a proven ability to manage complex, concurrent projects, activities and resources, including setting priorities and establishing/reviewing progress against goals.
  • Experience in working autonomously and supporting stakeholders and teams virtually.

Preferred Qualifications:

  • Experience working in a professional service organization. Previous experience of working in Talent Acquisition or recruitment would be a clear benefit.
  • Hands-on experience working within a proprietary database environment.
  • Demonstrated experience and interest in building and maintaining positive relationships with internal and external stakeholders.
  • A true team player with a resilient approach to ambiguity and a dynamic environment experiencing positive change.
