EXECUTIVE ASSISTANT TO CEO

JOB OVERVIEW:

The Executive Assistant (EA) to the CEO provides high-level administrative support to the Chief Executive Officer and assists in a variety of tasks to ensure the efficient operation of the executive office. The role requires excellent organizational, communication, and time-management skills.

The ideal candidate will be proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

REQUIRED QUALIFICATION:

  • Education: Bachelor's degree or equivalent work experience.
  • Experience: Minimum of 2 years in an executive assistant or similar role, supporting C-suite executives.
  • - PREFERRED QUALIFICATION:
  • Previous experience supporting a CEO or senior executive in a fast-paced or high-growth company.
  • Knowledge of business operations, strategic planning, and board management.
  • Experience in handling confidential and sensitive business matters.

REQUIRED SKILLS :

  • Excellent verbal and written communication skills.
  • Strong organizational skills and ability to manage multiple projects simultaneously.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other productivity tools.
  • Exceptional attention to detail and ability to prioritize tasks in a fast-paced environment.
  • High level of professionalism and integrity.
  • Strong problem-solving and critical thinking abilities.
  • Ability to maintain a calm and composed demeanor under pressure.
  • KEY RESPONSIBILITIES :
  • Executive Support:
  • Manage the CEO's calendar, appointments, and travel arrangements, ensuring efficient use of time.
  • Act as a liaison between the CEO and internal/external stakeholders, including board members, senior leadership, clients, and partners.
  • Coordinate and prepare materials for meetings, presentations, and reports.
  • Handle confidential information and sensitive issues with discretion and professionalism.
  • Prioritize and manage tasks independently while keeping the CEO informed of important deadlines and issues.
  • Communication Management:
  • Screen and manage incoming communications (emails, phone calls, and mail), respond or delegate as necessary.
  • Organize and maintain CEO's files, records, and documents, ensuring that everything is easily accessible.
  • Meeting & Event Coordination:
  • Organize and coordinate meetings, conference calls, and video conferences for the CEO and other executives.
  • Plan and execute events, including board meetings, company off-sites, and special CEO engagements.
  • Project Management & Coordination:
  • Assist the CEO in managing key projects, ensuring deadlines are met and tracking deliverables.
  • Provide administrative support for strategic initiatives, including scheduling, data collection, and status reporting.
  • Track and follow up on action items from meetings to ensure timely completion.
  • Financial Assistance:
  • Assist in managing the CEO's reports and follow up with donors and clients .
  • Followup bills clearance for executive-related activities .
  • Office Management:
  • Oversee the day-to-day operations of the executive office, including office supplies, technology, and facilities management.
  • Maintain a professional and organized office environment.
  • Confidentiality & Discretion:
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Act as the CEO's trusted advisor and confidante when needed.
