We have a role for a Media Project Specialist/Lead responsible to manage the coordination of paid media spend across multiple clients and campaigns, ensuring financial operations are executed efficiently and effectively. The candidate will be responsible for tracking, managing, and vouchering invoices, maintaining budget trackers by platform, and working closely with account leads to ensure seamless financial operations for client campaigns

Responsibilities:

This is an exciting role and would entail you to
  • Work and communicate with vendors/platforms to collect and provide updates on invoice payment processes, related updates, and other communications around payment delivery needs and timelines
  • Organize, track, and process invoices for all paid media campaigns.
  • Coordinate the opening and management of purchase orders with the Finance team.
  • Verify invoices against pre-bills, ensuring correct billing and advising account leads on budget status.
  • Identify discrepancies, escalate issues, and provide resolutions promptly.
  • Split expenses across multiple projects, codes, or clients to avoid inaccurate charging.
  • Maintain detailed budget trackers by platform and client, providing regular updates to internal teams, including potential risks and needs
  • Track and organize internal and vendor communications around financial operations, primarily with Paid Media Team
  • Provide insights and guidance to account leads regarding remaining budgets and potential escalations.
  • Assist with setting up new vendors and ensuring all financial procedures are followed correctly.
  • Act as the primary liaison for paid media financial operations, coordinating with leadership and junior staff.
  • Support paid media project set up and operations
  • Proactively communicate with account leaders and Finance to check on status of client invoice payment, vendor invoice submission and payment
  • Communicate effectively in a nuanced manner with U.S.-based clients, internal teams, and account leads.
  • Ad hoc reporting, responsible to maintain process documents (SOPs, Process Maps, etc)
  • Works in 14:00 – 23:00 hrs

Qualifications:

You will be working closely with

Paid media team, AAS, Senior Finance leaders from Omnicom Agencies, Accounting Teams, Controllers and Annalect Internal Leadership

This may be the right role for you if you have
  • Bachelors or Post Graduate Degree in accounting or relevant field.
  • Overall, 6-9 years of overall experience in OTC with atleast 3-4 years of experience in Billing and at least 3 years of experience in Accounts payable.
  • High attention to detail and organization
  • Proactive work and communication style
  • Highly process oriented and driven
  • Having 1-2 yrs of prior experience of Intercompany billing is highly preferred
  • Proficient in Advanced Excel, MS Office and the ability to quickly learn any new accounting softwares.
  • Ability to multi-task, meet deadlines and communicate effectively within and outside department.
  • Ability to work both independently and in a team oriented, collaborative environment
  • Ability to prioritize and execute tasks in a high pressure and Stake holders Management skills.
  • Flexible and Result Oriented with Strong Written & Oral Communication Skills

Experience in Microsoft Dynamics AX and Concur is a plus
