Purpose of The Role
To ensure the delivery of all support services required for Events and Exhibitions and provide excellent service to all the clients. The Manager - Event Operations is responsible for maximizing guest satisfaction and deliver all services as desired for the event functions and ensuring it is in accordance with specific standards.
Job Accountabilities- To assist in the delivery of all support services required for successful organization of Events and Exhibitions thereby delivering excellent service to all clients.
- To conduct show arounds with prospective clients & their vendors and help them to prepare detailed event layouts.
- To coordinate with clients / agencies and prepare a robust operation schedule to minimize the setup and dismantle time and offer complete event support services to the clients.
- To compile, cross check and verify that all relevant licenses and permissions required for the event have been procured.
- To ensure delivery of all JWG operational services to clients in a time bound manner with the help of internal resources.
- Should have an in depth understanding and knowledge of event production and on ground operations for all kinds of events.
- To have knowledge and understanding of structures that are being set up for events. (hangers, pagodas, stages, scaffolding, kitchen structures, mandap structures)
- To have knowledge of safety best practises followed for events.
- Should be able to plan and coordinate hospitality and logistics movements of an event.
- To follow all existing processes that have been laid down at JWG for successful event operations.
- To ensure all clients / vendors / agencies follow all rules & guidelines of JWG.
- To prepare / update the database of vendors / suppliers who have provided services and materials for earlier events at JWG.
- To prepare / update the S.O. Ps for entire event support services including process checklists, list of consumables etc.
- To support the O & M team in determining the cleaning frequency and schedules for all the areas.
- To coordinate and assist in the deployment of additional manpower for operations & management for events & exhibitions.
- To be able to step in when the Lead Operations is not available.
- To compile and maintain event dockets for all events.
- Experience in Event & Exhibitions Operations
- Ability to build strong working relationships internally as well as externally
- Detail oriented, quality and safety conscious
- High interpersonal & leadership skills
- Excellent communication skills both written and verbal
- Ability to multitask and work under pressure on multiple projects
- Passionate about delivering consistent excellence
- Should be flexible with working patterns or as business case requires
- A recognized qualification at degree/Diploma level. (Diploma in Electrical Engineering, B.Sc., Post Graduate Diploma in operations management)
- 5 - 8 years of total work experience
- Preferably handling large scale events and event operations
